注意事项：
1．出具的中文版本单位证明，并加盖公章，可以作为正式的语言版本；英文翻译稿不盖章，附在中文正本后面，作为非正式附件，以方便使馆领事人员阅读理解。
2．信函要打印在单位套头印刷的专用信笺上。如果有外文版的外事专用信笺就更好。公章可盖人事部门的部门章，也可加盖单位公章。
3．英文稿既然是非正式附件，就不用打印在单位套头印刷的专用信笺上，可打印在空白的A4纸上，且不盖章，也不签名。但仍应采用正式公文体的格式、字体和措辞（如“whereas鉴于”、“hereby兹/特此”、“hereinafter以下/下文”等公文用的文绉绉的“拽”词可以适当运用）。
4．无论是中文稿，还是英文稿，我方、外方的国号、政府机构名称都必须规范。如英国的全称是“大不列颠及北爱尔兰联合王国theUnited Kingdom of Great Britain and Northern Ireland”。
要弄清楚对方是驻华大使馆（embassy）还是驻某个城市的领事馆(consulate)，级别是不一样的。
各国的规范英文全称附在本文后面。
如果实在搞不准规范的国号全称，可以用规范的简称，如：Embassyof the Commonwealth of Australia（澳大利亚联邦驻华大使馆），可以简称为AustralianEmbassy in China；但英国大使馆不可以简称为British Embassy，应为Embassy of theUnited Kingdom；美国大使馆不可以简称为AmericanEmbassy，而是Embassy of the United States，或U. S. Embassy。
